The short answer

Nominate one organiser, get one fixed itemised quote, and split it in three parts: the per-person menu line evenly, the groceries at cost evenly once the receipts arrive, and the drinks by whoever drinks them. Twelve friends at our from-price of R850 per person is R10,200, or R850 each, before groceries. Nobody has to guess, because every line is on the quote before the deposit is paid.

That is the whole method behind booking a private chef in Cape Town as a group. The rest of this guide covers the edge cases: small tables and minimum invoices, people who join late, the friend who doesn't drink, and what happens if someone drops out.

Why per-person pricing makes this easy

Our dinner prices are published per person, so the starting point for a fair split is already done. A dinner for ten or more runs from R850 per person, a small table of three to six from R1,150 per person, and a dinner for two from R1,450 per person, with a R3,900 minimum invoice on dinners. Per-person rates drop as tables grow, which is why a larger group usually lowers everyone's share rather than raising it. If your group sits between the published bands, the quote states the rate that applies.

The quote shows chef time, staffing, travel and any add-ons as separate lines, and groceries are billed at cost with receipts attached to the settled invoice. That separation is what makes a group split clean: the fixed lines can be divided the day the quote lands, and the grocery line is settled once, at actuals.

The method, step by step

Five steps that keep a group booking calm, from the first message to the last transfer.

Included

  • Pick one organiser who sends the brief, receives the quote and pays the deposit.
  • Send the date, headcount, area and any dietary needs in one WhatsApp message.
  • Forward the menu options to the group chat and let everyone vote on one.

Quoted separately

  • Collect each person's share of the deposit before the organiser pays it.
  • Settle the balance and the grocery line the same way, with the receipts shared in the chat.

Worked splits from our published prices

Orientation arithmetic only, before groceries, rentals, Zone 2–3 travel and any festive multiplier. Your fixed itemised quote confirms the real numbers.

  1. 01Ten friends, one plated dinner from R850 pp: from R8,500, or R850 each.
  2. 02Four friends on the small-table rate from R1,150 pp: from R4,600, or R1,150 each.
  3. 03Three friends: 3 × R1,150 is R3,450, below the R3,900 minimum invoice, so the dinner invoices at R3,900, or R1,300 each.
  4. 04Eight friends at a gourmet braai from R650 pp: R5,200, below the R5,500 braai minimum, so R5,500, about R690 each.
  5. 05Eight friends sharing the 7-day villa bundle from R38,500: about R4,810 each for a week of chef time, before groceries.

Groceries, drinks and the uneven bits

Groceries are the one line that settles at actuals. Your chef shops for the menu you chose, and the receipts come with the settled invoice, so the group can see exactly what was spent and divide it evenly. On a multi-day villa stay the quote estimates a daily grocery band up front, which gives everyone a sensible amount to put in before the trip.

Drinks are where splits usually go wrong, so keep them separate. We serve but don't sell alcohol, which means the group buys its own wine and that cost never appears on our invoice. Split it among the people who drink, and let the non-drinkers off. If some of the table want a sommelier pairing, from R450–650 per person, raise it in the consult and the quote will show how it is counted.

Dietary needs do not change anyone's share. Vegan, gluten-free, allergy-aware and halaal-friendly adaptations are designed into the menu in the consult at no extra charge, so the friend with a requirement pays the same as everyone else and eats as well.

Deposits, payment and people who drop out

A 50% deposit locks the date and the chef, and the balance is due 10 days before the dinner. Payment is by EFT or a card payment link against the itemised invoice, and a quote is valid for fourteen days from issue, so the organiser has two weeks to gather shares before paying. Over the festive super-peak, 26 December to 7 January, quotes are valid for 48 hours and deposits are non-refundable, so collect money first on those dates.

Agree the drop-out rule before anyone pays. Our cancellation tiers are published: a full refund 14 or more days before the event, 50% at 7–13 days, and no refund under 7 days. A guest count change is one message to us, and the quote is updated, but inside those windows it is simplest if the group agrees that a late drop-out still covers their share. The full terms are on our booking protection page.

Gratuity is not included and never expected. If the group wants to tip the team, add it to the kitty as a separate line; our guide on what to tip a private chef in South Africa covers the usual approach.

Keeping the group chat on side

The hardest part of a group dinner is rarely the money. It is getting a dozen people to agree on a menu and a date. Our reply to the organiser includes two or three menu options with per-person prices, written so they can be forwarded straight into the chat. The same flow runs our bachelorette private chef bookings, where the group splits one clean number at the end.

For bigger tables, our guide to a private chef for a group of 10 in Cape Town compares formats and the cost of eating out. And if you are sharing a villa for a week, the villa chef day rates let you staff only the nights the whole group is home, which keeps everyone's share honest.

Book it

Send the date, the headcount, the area and the occasion on WhatsApp. We reply within the hour, 08:00–20:00 SAST, and the fixed itemised quote follows the menu consult. Every line on it is one the group can see and divide before anyone pays.
