PLANNING — CORPORATE

A Private Chef for a Corporate Retreat in the Winelands — Day Rates, Travel and a Worked Budget

A leadership offsite in Stellenbosch or Franschhoek works best when the food runs itself. Here is how a chef-led retreat is priced, which formats suit a working team, and what procurement will ask before signing.

For a corporate retreat in a Winelands lodge or estate house, the simplest model is a chef booked by the day rather than a caterer booked per meal. Our villa chef rates are published: a single meal (breakfast or lunch) from R4,250 per day, a dinner-service day from R5,950, and a full day of three meals from R6,900, with groceries billed at cost and receipts attached. Stellenbosch, Paarl and Somerset West add a Zone 2 travel line of R300–500 per day; Franschhoek and beyond are Zone 3 at R500–800 per day. from R6 900/day per day.

The short answer

For a corporate retreat in a Winelands lodge or estate house, the simplest model is a chef booked by the day rather than a caterer booked per meal. Our villa chef rates are published: a single meal (breakfast or lunch) from R4,250 per day, a dinner-service day from R5,950, and a full day of three meals from R6,900, with groceries billed at cost and receipts attached. It is the same team that runs our private chef service in Cape Town, moved to wine country for the length of your offsite. One chef owns breakfast, the working lunch and dinner, so the agenda never waits for food and nobody has to organise transfers to a restaurant at the end of a long session.

Why a chef beats restaurant hopping on a retreat

Winelands restaurants are excellent, and our Winelands dining guide is honest about that. The problem on a retreat is logistics, not quality. Stellenbosch is about 50 minutes from Cape Town, Paarl 45–60 minutes and Franschhoek around 1 hour 15, and the estates themselves sit apart from each other. Moving twelve colleagues to a restaurant every evening means a driver, a fixed seating window and a dinner that ends when the bill lands.

With the chef in the house, the day can flex. If the afternoon session runs over, dinner moves by half an hour and nothing is lost. Conversations that start at the table carry on at the table. And the one destination lunch many teams still want, at an estate restaurant booked weeks ahead in season, fits neatly into a stay that is otherwise catered in-house.

A retreat day, meal by meal

A typical full-day rhythm for a working offsite. The chef adjusts the timings to your agenda in the consult.

  1. 0107:00–08:30 — breakfast laid out before the first session: fruit, eggs to order, proper coffee.
  2. 0210:30 — a short break: something baked and something fresh, so energy doesn't dip before lunch.
  3. 0312:30 — a working lunch that suits the room: sharing platters and salads that don't leave anyone sleepy for the afternoon.
  4. 0415:30 — afternoon break, kept light.
  5. 0518:30 — drinks and canapés on the stoep as the session closes.
  6. 0619:15 — dinner, family-style or plated, then the kitchen is cleaned and the chef leaves the evening to you.

What procurement will ask

Retreats are usually booked by an executive assistant who has to get a number past finance. Our corporate terms are built for that. We onboard as a vendor, work to purchase orders, and send one fixed, itemised quote with chef days, staffing, travel and any rentals as separate lines. If it isn't on the quote, it doesn't appear on the invoice. The same all-in approach is set out on our corporate catering page.

Two Winelands rules are worth knowing before you choose the lodge. Travel is charged per day per team at the published zone rate. And in Zone 3 areas such as Franschhoek, finishes after 22:00 need staff accommodation, which we arrange and itemise in advance rather than discover on the night. If your dinners tend to run late, Stellenbosch, Paarl and Somerset West keep that line off the quote.

Dietary capture for a team

A group of twelve will almost always include someone vegetarian, someone avoiding gluten and at least one allergy. Collect the list once, ideally on the same form that gathers flight times and room preferences, and send it with the brief. Requirements are planned into every meal in the consult, not patched on the day, and halaal-friendly service runs with strict protocols: separate prep, dedicated equipment and sourcing agreed beforehand.

For a fully plant-based or wellness retreat, the menu is planned as one continuous plan across the days, so variety holds up from the first breakfast to the last lunch.

Choosing the town and booking it

Stellenbosch is the practical base, 30–40 minutes from the other wine towns. Paarl offers working-farm character with fewer crowds, Somerset West and the Helderberg are the closest of the four at 40–50 minutes from the city, and Franschhoek is the gourmet valley at Zone 3 rates. Our Cape Winelands page sets out each town and its travel zone, and our guide to a group weekend in Stellenbosch shows how a leisure version of the same stay is planned.

Send the dates, the lodge, the headcount and the agenda outline on WhatsApp. We reply within the hour, 08:00–20:00 SAST, and a fixed itemised quote follows the consult. Dates can be held provisionally while approval moves through the chain, and we tell you straight away if another enquiry lands on the same days. February and the mid-November to December year-end season book out first.
