PLANNING — WINELANDS
Planning a Group Weekend in Stellenbosch — Meals, Travel and Costs
Twelve friends, an estate lodge and three days in the vines. The wine plans itself. The meals are where a Stellenbosch weekend is won or lost, so here is how to plan them.
Plan the weekend as one booking, not three. A Friday arrival dinner, a Saturday built around one big meal, and a slow Sunday brunch before the drive home is the pattern most groups land on. Quoted together, the meals share one travel arrangement and one grocery run, and the per-meal cost drops noticeably against three separate bookings. from R6 900/day per day.
The short answer
Plan the weekend as one booking, not three. A Friday arrival dinner, a Saturday built around one big meal, and a slow Sunday brunch before the drive home is the pattern most groups land on. Quoted together, the meals share one travel arrangement and one grocery run, and the per-meal cost drops noticeably against three separate bookings.
Stellenbosch sits in our Zone 2, with a published travel fee of R300–500 per day per team, shown as its own line on your quote. Menu prices are the same as in the city. Our private chef in Stellenbosch page covers the town itself; this guide is about stitching a whole weekend together.

Getting there, and the travel line
Stellenbosch is about fifty minutes from Cape Town by car, and about thirty to forty minutes from the other wine towns, which makes it the practical base for a group that wants to see more than one valley. Friday afternoons add traffic, so on arrival night our team leaves the city early with buffers built into the load-in schedule. Your dinner time does not move.
The travel fee is charged per day, never multiplied on festive dates, and agreed before you pay a deposit. The one honest complication is the late finish. A dinner that ends by 22:00 lets the team drive home. If service runs past 22:00, the team stays over near your venue, and the accommodation appears as its own line on the quote for you to approve upfront. Finishes before 22:00 carry no accommodation cost, so it is worth deciding early whether Saturday is a long night.
The weekend, meal by meal
A pattern that works for most groups of eight to sixteen. Prices are our published from-prices, before groceries at cost and travel.
- 01Friday, arrival dinner: nobody wants to drive out to a restaurant after the journey. A private chef dinner at the lodge is from R850 pp for ten or more guests, or from R1,150 pp for three to six, with a R3,900 minimum invoice.
- 02Saturday, the anchor: either an estate lunch out followed by a lighter evening in, or a chef-run braai on wood at the lodge, from R650 pp with a minimum of six guests and a R5,500 minimum invoice.
- 03Saturday, all day in: for groups who would rather not leave the farm, a full-day chef covers breakfast, lunch and dinner for up to fourteen hours, from R6,900 per day.
- 04Sunday, brunch before the drive: a single-meal day, breakfast or lunch over about four hours, from R4,250, so the house is packed and the kitchen clean before check-out.
Estate lunch out, dinner in
The hybrid most groups end up choosing is one destination lunch at an estate restaurant, booked weeks ahead in season, with every other meal cooked at the lodge. You get one of the valley's famous dining rooms without building the whole weekend around reservations, transfers and someone staying sober to drive. Our Winelands private dining guide compares estate dining and in-villa dining in more detail.
Tastings feed directly into the evening. If the group buys bottles at the estates on Saturday, tell the chef, and the dinner can be built around them. For a hosted table, our sommelier pairing add-on is from R450–650 pp, with SA-only pairings. Wine you ask us to source is billed at cost with receipts, like the groceries.
Where you stay changes the plan
Estate lodges sleeping eight to sixteen are the usual group venue, and their kitchens range from manor-house sculleries to converted farm cottages. Guesthouses and townhouses in the town itself work just as well, and keep the oak-lined streets and cafés within walking distance for the morning after.
On a wine farm, we coordinate kitchen access, the load-in route and any curfews with the venue or farm manager before the weekend. Load-in uses the service route, not the guest entrance, so the team is invisible until canapés. Out here, sourcing shifts local: estate farm stalls, valley butchers and specialist shops cover most of the list, and anything the valley does not grow travels with us from Cape Town.
Season by season
Spring, September to November, brings waterblommetjie season, when a waterblommetjie bredie on a Stellenbosch menu is about as local as food gets. It is also the first wedding window, so weekend lodges and teams book early. Autumn, March to May, is harvest and the second wedding window: richer reds, slower cooking, and the vineyards turning amber.
Summer runs into the festive season, when public holidays carry our published 1.5× multiplier and 25 December, 31 December and 1 January carry 2×. The travel fee is never multiplied. Winter is the insider's window: fireplaces, fewer crowds and slow dinners when the vines are bare.
