A Villa Wedding Weekend Itinerary for Cape Town — Three Days, Hour by Hour
A villa wedding is a weekend, not an evening. Here is a three-day plan that works with Cape light, house rules and a guest list that changes from day to day, priced from our published tiers.
The villa weekend that works runs in three acts: a welcome braai on arrival night, the reception on day two, and a recovery brunch on day three. On our card, a gourmet braai starts from R650 per person (minimum six guests or R5,500), the reception from R795, R995 or R1,195 per person depending on the tier, and the brunch from R395 per person. Each day is priced separately on one all-in quote. from R795 pp per person.

Our villa wedding catering in Cape Town is built for 20 to 80 guests. This guide turns that into a working itinerary you can hand to your planner, your photographer and your villa host.

Before the weekend: the site visit
Villas weren't built as venues, so the itinerary starts with a walk-through. At the site visit we check power and water capacity, plan a load-shedding backup with a generator where needed, and decide whether the villa kitchen can carry the menu or whether a mobile kitchen rig is needed, with induction, ovens, prep and plating stations.
Ask your villa host about body-corporate rules, the noise curfew, parking and the guest cap before you pay their deposit. Atlantic Seaboard villas often sit in sectional-title schemes, and those rules shape the timeline: an earlier amplified-music cut-off, discreet load-in and a reception that stays inside the house rules. Give us the check-in and check-out times too, because they set the start of day one and the end of day three.
Day 1 — the welcome braai
Arrival night is relaxed and generous, with no speeches required. Times are illustrative and set at the site visit.
- 0115:00 — the braai team arrives and builds a real wood fire; no gas.
- 0217:30 — guests drift in from flights and check-in; Cape wine and something cold.
- 0318:30 — snoek or lamb on the grid, sides plated, everyone eating together.
- 0421:00 — the fire is brought down, the braai area cleared and the kitchen left ready for tomorrow.
Day 2 — the wedding, timed to the light
On the Seaboard in summer the sun sets late, so we plan around golden hour rather than a fixed clock: photographs first, first course as the light drops. Your coordinator builds the exact times into the service timeline.
- 01Morning — the kitchen team arrives, rentals are set and the long table is laid.
- 02Afternoon — ceremony, then canapés while the photographs happen (canapés on arrival are part of the Estate tier).
- 03Golden hour — guests are seated as the light softens; first course lands.
- 04Speeches — between courses, so the kitchen paces the plates to the room.
- 05Late evening — dessert, then the dance floor, with the music kept within the villa's curfew.
- 06After service — load-out is quiet and the kitchen is reset before the team leaves.
Day 3 — the recovery brunch
The morning after is slow and abundant: a late-morning table by the pool, where nobody lifts a finger and the kitchen is left spotless. Plan it backwards from check-out, so the brunch finishes with time for packing and the final clean before the keys go back.
This is often the day guests remember best: the pressure is off, the dress code is gone and the people who flew in get time with the couple that the reception never allows.
A guest list that changes every day
Headcounts are rarely the same across the weekend. The welcome braai might be the thirty-five people who have arrived, the reception the full sixty, and the brunch the thirty staying in the villa or nearby. Because each day is priced separately, the quote follows those numbers instead of charging the peak headcount three times.
Collect dietary needs once, with the RSVPs, and send them with the brief. Vegan, gluten-free and allergy-aware plates are produced in the same service and labelled at the pass, and halaal-friendly service follows strict protocols with sourcing and separation documented on request.

Booking the weekend
Peak Saturdays in the spring and autumn windows, September to November and March to May, book nine to twelve months out. December weekends fall inside the festive super-peak, with a stricter deposit ladder and published multipliers shown in writing before you commit. Weddings follow a 50/25/25 ladder: 50% on booking, 25% at 20 days out and 25% at 10 days out.
Our wedding catering page covers all three menu tiers and what all-in means, and our guide to wedding catering cost in Cape Town sets those tiers against the wider market. Send the date, the villa, the guest range and the days you want catered on WhatsApp, and we reply within the hour, 08:00–20:00 SAST.
