PLANNING — CORPORATE
Product Launch Catering in Cape Town — Formats, Staffing and Costs
A launch has one job: put the product in front of the right people while they are having a good time. The food should help, not compete. Here is how to plan it in Cape Town.
Most product launches work best as a standing event with tray-passed canapés and a staffed bar, because guests keep moving, keep talking and keep finding their way back to the product. A styled grazing table can become a second focal point, and a seated dinner suits a small launch for press, partners or key clients. from R395 pp per person · Min 20 guests.
The short answer
Most product launches work best as a standing event with tray-passed canapés and a staffed bar, because guests keep moving, keep talking and keep finding their way back to the product. A styled grazing table can become a second focal point, and a seated dinner suits a small launch for press, partners or key clients.
Every format here is part of our catering in Cape Town, quoted as one fixed itemised number before you commit. Canapé catering is from R395 pp with a minimum of 20 guests, grazing and harvest tables from R495 pp with a minimum of 15, and corporate menus run in a published band of R395–695 pp with a R10,000 minimum spend.

Choose the format for the room
Start with the room and the guest list, not the menu. Who is coming, how long will they stay, and where do you want them standing when the speech starts?
Canapés suit open-plan venues, showrooms, galleries and rooftops: one-bite food that circulates and never asks guests to put down a drink or a sample. A grazing table suits a launch where people drift and return, and gives the photographer a second set piece, though it needs to be indoors or under cover. A plated dinner suits a launch of 6 to 16 at a boardroom table or 30 at a long table, where the conversation is the point.

How much food to plan
Launches tend to be early evening and two to three hours long. Our planning rule for canapés, by event length:
- 011 hour (drinks before a dinner or a show): 4 pieces per guest.
- 022 hours (the standard launch): 6 pieces per guest.
- 033 hours (when the launch replaces dinner): 8 pieces per guest, dessert bites included.
- 044 hours (a long night with a DJ): 10 pieces per guest, plus a substantial late pass such as sliders or linefish tacos.
Staffing the trays and the bar
Launch catering fails on floor craft more often than on food. Plan staff to the floor plan and the guest count.
Included
- Servers: one per twenty-five to thirty guests keeps trays circulating without crowding the room. Waiters are from R195/hr and premium waiters from R275/hr, each with a 4-hour minimum.
- Bar: one bartender per forty to fifty guests, more when cocktails replace wine. Bartenders are from R225/hr with a 4-hour minimum.
- Drinks: you supply them and we chill, pour and serve. If the event sells alcohol, licensing sits with you or the venue, and we will flag it when it applies.
Quoted separately
- Dietary runs: vegan, gluten-free and allergy-aware pieces are passed as labelled runs. We're halaal-friendly with strict, documented protocols.
- Kitchen: a domestic kitchen usually handles canapés for up to about 80 guests. Beyond that we bring a compact mobile setup, and power, water and load-in are checked in advance.
A launch run-sheet that works
A typical two-and-a-half-hour evening launch, timed around the reveal:
- 01T-3 hours: load-in, kitchen set, bar set and a walk of the pass routes with your event lead.
- 02Doors: a welcome drink and the first cold pass within minutes, so nobody stands empty-handed while the room fills.
- 03First hour: alternate hot and cold passes and keep the grazing table, if you have one, fully dressed.
- 04The speech or reveal: trays pause and the bar holds service, so the room faces the stage rather than the kitchen.
- 05After the reveal: the substantial pass and a second wave of hot pieces, which is when guests stay and talk about the product.
- 06Close: sweet bites, a last round, then breakdown and a clean handover of the venue.
Branding without gimmicks
The food can carry the brand quietly: a colour that echoes the packaging, an ingredient that ties to the product story, a menu card with the launch name. We style grazing tables to the occasion, and brand events lean architectural rather than floral. Bring the mood board and we will match it, or tell you honestly where it fights the food.
What doesn't work is food that needs explaining or two hands to eat. Keep it one bite, keep it clean to hold, and keep the theatre for the product.
Worked costs from published prices
Eighty guests for a two-hour standing launch with canapés from R395 pp is from R31,600 for the food. At one server per twenty-five to thirty guests, three waiters for the 4-hour minimum add from R2,340, and two bartenders for 4 hours add from R1,800. A smaller launch of 30 guests is from R11,850 on canapés, or from R14,850 on a grazing table, with staffing on top.
Travel is included in Zone 1. Stellenbosch, Paarl and Somerset West add R300–500 per day, and Franschhoek and beyond R500–800. Public-holiday multipliers are published on our pricing page.

Timing, paperwork and booking
Two weeks' notice is comfortable for most corporate events. February is the exception: Mining Indaba and the Investec Art Fair fill the city's calendar, so lock launch dates in that month early. We onboard as a vendor, work to purchase orders and can split invoices by cost centre. Our corporate catering page covers the account set-up, and our conference catering checklist helps if the launch sits inside a larger event.
Send the date, venue, guest count, event length and any dietary needs on WhatsApp. We reply within the hour, 08:00–20:00 SAST, with a piece count, a menu and a fixed itemised quote.
