Wine estates run one of three catering models: in-house catering only, approved outside caterers, or outside caterers with a kitchen buy-out or a corkage-style fee. The short answer

Wine estates run one of three catering models: in-house catering only, approved outside caterers, or outside caterers with a kitchen buy-out or a corkage-style fee. Find out which one your shortlist uses before you pay any venue deposit, because it decides who cooks, what you pay the venue on top and whose wine is on the table.

Where outside catering is allowed, our Winelands wedding catering covers Stellenbosch, Franschhoek and Paarl estates, from 40-guest vineyard lunches to receptions of 150 and beyond. On our card the three wedding tiers start from R795, R995 and R1,195 per person, on one all-in quote with staffing, rentals and travel itemised.

The questions to ask the estate first

Ask these in writing before you fall in love with a date. The answers shape the whole budget.

Included

  • Do you require your in-house caterer, or do you allow approved outside teams?
  • If outside caterers are allowed, is there a kitchen buy-out or a corkage-style fee?
  • Is the estate kitchen available to the caterer, or reserved for the venue's own use?

Quoted separately

  • Must the estate's own wines be served, and on what terms?
  • What are the load-in windows, the noise curfew and the latest finish time?
  • What is the wet-weather plan: a marquee, a stretch tent or a barn?

How an outside caterer works on an estate

Estates are working farms with their own rhythms: cellar traffic, tasting-room hours and their own venue rules. A good outside caterer slots into those operations instead of fighting them. With us, that starts with a site visit with the estate coordinator, power and water checks and a planned load-in route, all included in the quote.

Where the estate kitchen is reserved for the venue's own use, we bring a mobile kitchen rig so the menu does not depend on borrowed space. We respect the estate's etiquette: their wines on the table where contracted, their load-in windows and their curfews. Venue hire, marquee contracts and estate accommodation stay between you and the estate, so the venue line and the catering line never blur.

Wine: the estate's or a pairing

You are marrying in wine country, so the wine should be part of the point. Where the estate contract allows, we build the courses around the estate's own wines. If you would rather bring in South African small producers, our sommelier pairing add-on, from R450–650 per person, handles selection and course-by-course service. Our private sommelier page explains how pairing works.

Check the estate's rules on outside wine before you plan a pairing. Some contracts require their own wines on the table, and a corkage-style fee may apply to anything else. Knowing that early keeps the drinks budget honest.

Travel, late finishes and staffing

The lines that change by estate, all published rather than negotiated.

  1. 01Stellenbosch and Paarl sit in Zone 2; Franschhoek and beyond sit in Zone 3, per the travel-zone table on our pricing page.
  2. 02In Zone 3, finishes after 22:00 need staff accommodation, quoted as its own line.
  3. 03Service is staffed at a published 1:12 ratio, scaled for larger receptions.
  4. 04Our sweet spot is forty to a hundred and fifty guests, where a senior team can plate every course to order.
  5. 05If a guest count outgrows the format, we say so early and point you to the right one.

A worked budget for 100 guests

  5. 05Add the venue's own fees separately: venue hire, any kitchen buy-out and marquee hire are contracted with the estate.

Season, rain and timing

Winelands weddings live in two windows: September to November, when the vines are green, and March to May, when they turn amber and the evenings are still mild. Peak Saturdays in those windows commit nine to twelve months out, and the best estates hold their dates even earlier, so secure the venue and the caterer together. December dates fall inside the festive super-peak, with published multipliers and stricter deposit terms shown in writing before you commit.

Rain is planned at the site visit, not on the day: a wet-weather layout is agreed with the estate and marquee partners in advance, and the kitchen runs under cover regardless. Weddings follow a 50/25/25 deposit ladder, 50% on booking, 25% at 20 days out and 25% at 10 days out. Our wedding catering page covers all three tiers, and our guide to wedding catering cost in Cape Town sets them against the wider market.
