How to Organise Catering for a Memorial Service — A Gentle, Practical Guide

If you are reading this, you are probably organising food for a gathering after a loss, in a week that already asks too much. This guide keeps it short: the few things that need deciding, and everything you can hand over.

The short answer

You need to decide very little. Tell a caterer the date, the likely number of guests and the venue, and let them carry the rest. With us, that is one call to one named coordinator, who stays with you from the first conversation to the final cleanup. We can turn a confirmed memorial booking around in 24 to 72 hours.

Our funeral catering in Cape Town starts from R395 per person for canapé-style gatherings, with grazing tables, staffed teas and full-service options for 15 to 100-plus guests. The food will be generous and the service quiet. The tone of the day belongs to the family.

The three things to tell the coordinator

That is genuinely all you need for the first call. Estimates are fine for all of it.

Included

  • The date, and roughly when the gathering starts. Timing flexes around the service, so we serve when you are ready rather than on our schedule.
  • The likely number of guests. A range is enough; numbers can change until 24 hours before.

Quoted separately

  • The venue: the family home, a church hall, a garden or a funeral parlour's reception room. The coordinator confirms access, power and water with the venue directly.
  • Any dietary, cultural or religious requirements, said once. We would rather ask one careful question than make one wrong assumption.

Handing it over

The point of a coordinator is that the family stops being the switchboard. The same person answers every call and message, so nobody has to re-explain anything during the week of the service, and nobody is handed between departments. Because the coordinator speaks to the venue directly, logistics are never relayed through a grieving household.

If a relative or close friend is making the call on the family's behalf, that is fine. Give the coordinator one contact for decisions, and everything else can run through them.

Drop-off or staffed

There are two ways to do it, and the choice comes down to how much the family wants to think about on the day. With drop-off, prepared platters, grazing spreads and sweet options are delivered, set out and labelled, and the family does nothing more. The staffed option adds serving staff, tea and coffee service and full cleanup afterwards, so nobody close to the family ends up washing cups.

If the gathering is at home and the family would rather not have people working around them, drop-off may be enough. If it is in a hall or a garden, or the guest list is long, staffing usually earns its place. Our wider guide to drop-off vs full-service catering explains the difference in more detail, though for a memorial the coordinator will simply ask which feels easier.

What to serve

Memorial food should be generous, familiar and easy to eat standing up with a cup of tea in the other hand. Good sandwiches done properly, savoury platters and something sweet are the backbone. This is not the day for a tasting menu, and we will never try to make it one.

Menus come from proven, pre-costed options rather than being designed from scratch, so the family is not asked to make a dozen choices. If you want something specific, say so; otherwise the coordinator suggests a menu that suits the size and timing of the gathering.

When you don't know the numbers

Numbers at a memorial are estimates until the day, and that is normal. Guest counts can change until 24 hours before the gathering, and the quote adjusts on the per-person lines only. On the day, we cater generously for the confirmed count so that nobody goes without.

If you are unsure, give the coordinator your best range and the size of the venue. That is enough to plan the food and the team.

What it costs

Clear per-person bands, published, with no festive-style multipliers applied to memorial bookings. The quote is fixed and itemised; if numbers change, only the per-person lines move.

  1. 01Canapé-style gatherings: from R395 per person, minimum 20 guests.
  2. 02Grazing and harvest tables: from R495 per person, minimum 15 guests. For thirty guests, from R14,850.
  3. 03Larger gatherings of fifty or more: from R550 per person. For sixty guests, from R33,000.
  4. 04Quoted separately: rentals if the venue needs them, Zone 2–3 travel, and extended hours beyond the quoted window, arranged gently and never rushed.

Payment, explained plainly

Payment timing for memorial bookings is discussed gently with the coordinator. Our published deposit and cancellation terms apply, and they are explained in plain language before anything is signed, so there are no surprises later in a difficult week.

Dietary and cultural needs

Cape Town families are diverse, and memorial tables often need to be too. Halaal-friendly catering follows our strict published protocols, with separate preparation sequences and certified-halaal supplier sourcing where possible. Vegan, vegetarian, gluten-free and allergy-aware options are planned in from the start rather than patched on. Our dietary requirements page sets out how that works.

If the family has specific cultural or religious requirements around the food, tell the coordinator once and it is taken care of.

If it is a celebration of life

Not every gathering after a death is sombre. More families are choosing a celebration of life: a garden lunch, a braai, or a table full of the person's favourite food. Tell us which kind of day you are planning, and the menu, the pacing and the service style follow.

For a celebration of life we can cook the dishes the person was known for, if you share the recipe or the memory of it. Families tell us it is the detail guests talk about on the way home.
