Engagement Party Catering in Cape Town — Formats, Timing and Costs
The ring is on, the families want to meet and someone has offered their garden. Here is how to pick the format, plan the toast and price an engagement party in Cape Town.
Engagement party catering starts with two numbers: how many guests and how long the party runs. Our catering in Cape Town publishes every format's from-price and minimum, and for engagement parties four do most of the work: canapés and drinks from R395 pp (min 20 guests), a grazing table from R495 pp (min 15), a seated long-table dinner from R850 pp for ten or more, and a chef-run braai from R650 pp (min 6, R5,500 minimum invoice). from R395 pp per person · Min 20 guests.
The short answer
Engagement party catering starts with two numbers: how many guests and how long the party runs. Our catering in Cape Town publishes every format's from-price and minimum, and for engagement parties four do most of the work: canapés and drinks from R395 pp (min 20 guests), a grazing table from R495 pp (min 15), a seated long-table dinner from R850 pp for ten or more, and a chef-run braai from R650 pp (min 6, R5,500 minimum invoice).
After that, the plan is about moments rather than menus: arrivals, the toast, a substantial pass so nobody leaves hungry, and the cake or dessert. Get the timeline right and any of the four formats works — at a family home, in a garden or at a holiday villa.

Pick the format by guest count and mood
Standing and mingling suits the classic engagement party, where two families and two friendship groups are meeting for the first time: canapés keep people moving and talking. A grazing table becomes the centrepiece and suits a relaxed afternoon. A long-table dinner suits a smaller, closer group — often immediate family only — and a braai suits a garden or terrace where the fire becomes the entertainment.
Bigger lawns and bigger families can go further: a spit braai from R450 pp for 20–49 guests, or from R320 pp at 100 or more. Combinations price on one quote — a canapé hour into a grazing table, or canapés into a braai at dusk.

The engagement party timeline
A worked rhythm for a three-hour afternoon or evening party for around fifty guests. Shift it to suit your families — the order matters more than the clock.
- 01Hour one — arrivals: drinks poured as guests walk in, cold canapés circulating, so the first conversation has something in its hand.
- 02End of hour one — the toast: everyone has arrived, glasses are full and the speeches happen while the room is still fresh. Tell the team the cue and trays pause.
- 03Hour two — hot passes or the grazing table opens: this is when the food does its real work.
- 04Hour three — the substantial pass: braai sliders, linefish tacos or boerewors rolls, so the party can run late without anyone needing dinner afterwards.
- 05The close — cake or dessert bites: mini milk tarts and seasonal fruit skewers, or your bakery's cake, timed and plated by us.
How much food to plan
The planning rules we build into every engagement party quote, so you aren't guessing.
Included
- Canapés: four pieces per guest for a one-hour drinks slot, six for a two-hour reception, eight when canapés replace a meal, and ten with a late substantial pass for a four-hour party.
- Grazing tables: styled as the centrepiece with setup, breakdown and dietary tent cards included — they need shade or cover outdoors.
- Seated dinners: three or four courses, or family-style platters for a table that wants to share.
Quoted separately
- Dietary mix: two families means a wider dietary landscape. Vegan, gluten-free and allergy-aware pieces are labelled and passed as separate runs, and we're halaal-friendly with strict, documented protocols.
- Children: tell us the number and ages — simpler plates or a kids' platter can be planned in.
The bar and the toast
We don't sell alcohol. You supply the drinks; we chill, pour and serve. For standing events we plan one bartender per forty to fifty guests, scaled up when cocktails replace wine, and bartenders are a published add-on from R225 an hour with a four-hour minimum. If the event sells alcohol to guests rather than serving it, licensing questions belong to you or the venue, and we'll flag it.
For the toast itself, the simplest plan is a Cap Classique or a sparkling alternative chilled and poured in the ten minutes before the speeches, with soft drinks on the same tray. Agree the cue with the team — one word from whoever is hosting — and the trays pause while the room listens.

Venue, rentals and booking
Most engagement parties happen at someone's home or garden, which keeps it personal and keeps costs down. A domestic kitchen usually handles canapé production for up to about eighty guests; beyond that we bring a compact mobile setup. Furniture, glassware and other rentals are quoted separately on the same itemised quote, and marquees are a separate contract — book the tent first and share its size and position. If the party is outdoors, our garden party catering guide covers the weather plan.
Two to four weeks is comfortable for most dates; December weekends commit earlier. A 50% deposit locks the date, and our published cancellation tiers apply. If the proposal hasn't happened yet and you are reading ahead, our proposal dinner service and proposal ideas guide come first — and when the planning moves on to the big day, our wedding catering page takes over.
